Calgary Bookkeeping Rates in 2026
Calgary's bookkeeping market is more affordable than Toronto or Vancouver, but still reflects national pressures driven by a shortage of qualified bookkeepers. Independent bookkeepers in Calgary charge C$32–C$50/hr — lower than the major coastal cities, partly because Alberta's housing costs have not risen to the same level, and partly because the oil and gas sector's demand for corporate-level accountants draws the most qualified professionals away from SME bookkeeping work. A local bookkeeping firm in Calgary bills at C$65–C$110/hr, while CPA time costs C$125–C$250/hr.
| Bookkeeper Type | Hourly Rate (CAD) | Monthly Cost (60 hrs) | Annual Cost |
|---|---|---|---|
| Independent bookkeeper — Calgary | C$32–C$50/hr | C$1,920–C$3,000 | C$23,040–C$36,000 |
| Bookkeeping firm — Calgary | C$65–C$110/hr | C$3,900–C$6,600 | C$46,800–C$79,200 |
| CPA doing bookkeeping work | C$125–C$250/hr | C$7,500–C$15,000 | C$90,000–C$180,000 |
| In-house part-time (60 hrs/mo, all-in) | C$22–C$28/hr + overhead | C$3,600–C$4,800 | C$43,200–C$57,600 |
| Overseas Indian CA firm (Sharma Jyoti & Co) | C$10–C$18/hr | C$600–C$1,080 | C$7,200–C$12,960 |
A Calgary business using a local independent bookkeeper at C$40/hr for 60 hours per month pays C$28,800 per year. The same 60 hours with an overseas CA firm at C$14/hr costs C$10,080 — a saving of C$18,720 annually. Against a local firm at C$85/hr, the overseas saving exceeds C$50,000 per year.
Alberta's Tax Advantage — No Provincial Sales Tax
Alberta is the only major Canadian province with no provincial sales tax. Where Ontario charges HST at 13% and BC charges a combined 12% through separate GST and PST systems, Alberta businesses collect only the 5% federal GST. For bookkeeping, this means:
- No PST account to register and maintain separately
- No dual-tax coding of transactions — every sale has one tax line, not two
- One CRA GST/HST account, one return, one remittance schedule
- Simpler ITC recovery — no provincial tax component that cannot be claimed back
- Cleaner supplier invoice processing — no need to split PST from GST on purchase coding
This does not mean Alberta bookkeeping is trivial. The province has its own obligations that require accurate, experienced record-keeping:
- WCB Alberta (Workers' Compensation Board): Employers with insurable employees must remit WCB premiums. Alberta rates are industry-classified by NAICS code and change annually. WCB reports are filed annually based on estimated and actual insurable earnings. Industries from construction to oil and gas to hospitality all have distinct rate schedules
- Alberta corporate income tax (8%): One of Canada's lowest provincial rates. Accurate financial statements are required — wrong books produce wrong tax. Alberta Tax and Revenue Administration (ATRA) audits are not uncommon, particularly in the energy and construction sectors
- Alberta payroll remittances: Standard CRA process — CPP, EI, federal income tax withheld. Alberta has no provincial income tax withholding separate from federal, which simplifies payroll coding
- Oil and gas royalty statements: For businesses in the energy sector, royalty statements from the Alberta Energy Regulator require precise monthly reconciliation against production data — a technically demanding task that rewards a CA-level bookkeeper
What Calgary Businesses Pay Annually — Local vs Overseas
Total annual cost is the right comparison — not hourly rates in isolation:
| Business Size | Est. Hours/Month | Local Independent | Local Firm | Overseas India | Annual Saving |
|---|---|---|---|---|---|
| Sole trader / freelancer | 15–25 hrs | C$5,760–C$15,000 | C$11,700–C$33,000 | C$1,800–C$5,400 | C$3,960–C$9,600 |
| Small business (5–15 staff) | 40–60 hrs | C$15,360–C$36,000 | C$31,200–C$79,200 | C$4,800–C$12,960 | C$10,560–C$23,040 |
| Growing SME (15–50 staff) | 80–120 hrs | C$30,720–C$72,000 | C$62,400–C$158,400 | C$9,600–C$25,920 | C$21,120–C$46,080 |
| Established business (50+ staff) | 150–200 hrs | C$57,600–C$120,000 | C$117,000–C$264,000 | C$18,000–C$43,200 | C$39,600–C$76,800 |
For a growing Calgary SME using 80–120 hours per month, overseas outsourcing saves C$21,000–C$46,000 per year. Even at the lower end of local rates, the saving on a growing business with 80 hours per month exceeds C$21,000 annually — enough to fund a dedicated overseas team and still have capital left over.
Industries Driving Calgary Bookkeeping Demand
Calgary's economy is more concentrated than other Canadian cities, and each sector has distinct bookkeeping requirements that an experienced overseas team handles as standard:
- Oil and gas: Calgary is the headquarters city for Canada's energy sector, from major producers to small joint venture operators. Energy companies need royalty reconciliation, joint venture accounting, working interest tracking, and accurate monthly close for AER reporting. These are technically demanding tasks — an ICAI CA trained in Indian oil and gas accounting (a major sector there as well) transitions well to Alberta requirements
- Construction and trades: Alberta's construction industry is large and active across both the city and the surrounding region. Contractor businesses need project-based accounting, WCB premium tracking, and subcontractor T4A and T5018 preparation at year-end — a compliance area where errors are common and costly
- Agriculture: Southern Alberta's agribusiness sector — grain farming, livestock, processing, and agri-supply — has its own CRA reporting requirements, including AgriStability and AgriInvest programs that require accurate farm income records filed on Schedule 2 of the T2
- Retail, hospitality, and services: Calgary's downtown core and suburban commercial strips support a large retail and restaurant sector. High transaction volumes, daily POS reconciliation, and quarterly GST returns are the bookkeeping backbone for these businesses
- Technology and professional services: Calgary's growing tech sector — accelerated by energy sector diversification and post-pandemic relocation — needs the same clean-books, quick-close reporting as Toronto startups, at Alberta's lower operating cost
What an Overseas Indian CA Firm Handles for Calgary Businesses
An ICAI-registered CA firm handles everything a local Calgary bookkeeper does, including the Alberta-specific items that add complexity:
- Daily transaction coding in QuickBooks Online, QuickBooks Desktop, Sage 50, or Wave
- Monthly bank and credit card reconciliation
- Federal GST return preparation — quarterly or monthly, with full ITC review
- CRA payroll remittance tracking and preparation (CPP, EI, federal income tax)
- WCB Alberta premium calculations by NAICS rate group from payroll data
- T4 and T4A slip preparation at year-end (February 28 deadline)
- T5018 preparation for construction subcontractors (February 28 deadline)
- T2 corporate tax workpaper preparation for your CPA to file with ATRA and CRA
- Accounts payable and receivable management
- Monthly P&L, balance sheet, and accounts ageing delivered by the 5th of each month
- For energy sector businesses: royalty statement reconciliation and joint venture accounting
We do not submit any CRA or ATRA returns directly — filing always remains with you or your CPA. Our deliverable is a fully prepared package that makes each filing a 15–30 minute review rather than a half-day task.
