Which Sage products work for outsourcing to India?

Sage has three main products in use across UK businesses, and each has a different access model for an overseas bookkeeper.

Sage productTypeOutsourcing access methodEase of outsourcing
Sage AccountingCloud (subscription)Invite as additional user via emailEasy — best option
Sage 50Desktop (installed)Remote desktop (RDP) or Sage DriveModerate — setup required
Sage 200Server / cloud hybridRemote desktop or Sage 200 cloud loginModerate — depends on deployment

If you are not yet on a Sage product and are choosing one specifically for outsourcing, Sage Accounting (also known as Sage Business Cloud Accounting, formerly Sage One) is the most practical choice. It supports multiple user logins with different permission levels, has a native bank feed connection, and includes MTD VAT submission built in.

If you are already on Sage 50 and your data is well organised, there is no need to switch. Our Indian bookkeeping team works across all three Sage products.

Setting up access: Sage Accounting vs Sage 50 vs Sage 200

Sage Accounting (cloud)

This is the simplest setup. Log in to your Sage Accounting dashboard and go to Settings > User Management > Invite a User. Enter the Indian bookkeeper's email address and assign the "Accountant" or "Full Access" role. They receive an email invitation and create their own Sage login to access your company. You do not need to share your own credentials.

Sage Accounting also allows you to invite a Sage Accountant partner through the Sage Accountants network, which gives additional access features including client management tools.

Sage 50 (desktop)

Sage 50 is installed on a local PC. There are two practical ways to give the Indian team access:

  • Remote Desktop (RDP): The most common method. Enable Windows Remote Desktop on the PC where Sage 50 is installed. The Indian team connects via the PC's IP address using an RDP client. Set up a dedicated Windows user account with Sage 50 operator access — this avoids sharing your main credentials and creates an audit trail.
  • Sage Drive: Sage 50 includes Sage Drive, which creates a cloud backup of your data that a second user can access via their own Sage 50 installation. This is slower than RDP but does not require opening a remote desktop connection. The Indian team needs a Sage 50 licence to use this method.

Sage 200 (cloud deployment)

If you are on Sage 200 Professional (cloud-hosted by Sage), access works similarly to Sage Accounting — additional user accounts can be created in the Sage 200 admin panel. If you are on an on-premise Sage 200 deployment, RDP access is required. Check with your IT provider before enabling external remote access to ensure your firewall and network security settings are appropriate.

What the Indian team handles in Sage

Once access is set up, the Indian CA firm takes on the following within Sage each month:

  • Bank reconciliation — matching all transactions in the Sage bank nominal account against the bank statement
  • Purchase invoice coding — posting supplier invoices to the correct nominal codes and cost centres
  • Sales invoice reconciliation — matching customer payments to raised invoices, flagging aged debtors
  • VAT return preparation — reviewing all transactions for the VAT period, preparing the VAT return, and submitting to HMRC via Sage's MTD connection
  • Payroll processing (if in scope) — running the monthly payroll run in Sage Payroll, generating payslips, and filing RTI to HMRC
  • Month-end reports — profit and loss, balance sheet, aged creditor and debtor reports delivered by the 5th of the following month

For businesses with stock management or job costing in Sage, the Indian team also maintains the stock nominal accounts and project cost allocations. Accounts payable processing is typically the highest-volume task and is handled with a 24–48 hour turnaround on invoice receipt.

For most small UK businesses choosing software for the first time, Xero has a slight edge in ease of shared access. For businesses already established on Sage, there is no compelling reason to switch — the access and workflow differences are minor once the initial setup is done.

Cost: outsourcing Sage bookkeeping to India vs local bookkeeper

The cost differential between an Indian CA firm and a UK bookkeeper is consistent regardless of the software used. Sage does not change the underlying economics.

ScopeIndian CA firm / monthUK bookkeeper / monthAnnual saving
Bank reconciliation + VAT only (low volume)£150–£250£350–£600£2,400–£4,200
Full bookkeeping (reconciliation, AP, AR, VAT)£250–£450£600–£900£4,200–£5,400
Full bookkeeping + payroll (up to 10 employees)£350–£600£800–£1,200£5,400–£7,200

Indian CA firms charge £6–£15 per hour equivalent. UK freelance bookkeepers charge £25–£45 per hour. UK bookkeeping firms charge £35–£70 per hour. For a business requiring 15–20 hours of bookkeeping per month, the monthly difference is £400–£800 in favour of the Indian route.

Frequently asked questions

Yes. Sage 50 is a desktop application, so access requires either a remote desktop connection (RDP) to the PC where Sage 50 is installed, or a Sage Drive cloud backup that the Indian team can access via a Sage 50 client licence. Most businesses find Sage 50 remote access workable but slower than cloud options. For new setups, Sage Accounting (cloud) is easier to share with an overseas bookkeeper.
Yes. Sage One was rebranded to Sage Accounting (also called Sage Business Cloud Accounting) in 2018. It is Sage's cloud-based product aimed at small businesses, distinct from Sage 50 (desktop, for SMEs with more complex needs) and Sage 200 (mid-market, server-based or cloud). Sage Accounting is the easiest Sage product to outsource to an Indian bookkeeper because it supports multiple user logins with different permission levels.
Indian CA firms charge £150–£300 per month for Sage bookkeeping for a small business with 100–200 transactions monthly. For larger businesses or those needing payroll alongside bookkeeping, expect £300–£500 per month. UK bookkeepers charge £25–£45 per hour for the same work — roughly £400–£900 per month for the same transaction volume. The saving is typically 50–60%.
Yes. Sage Accounting and Sage 50 both have native MTD VAT submission built in. The Indian CA firm prepares and reconciles the VAT return each quarter within Sage, then submits directly to HMRC through Sage's MTD connection. The business owner grants HMRC agent authorisation to allow this. If your Sage version does not support MTD natively, bridging software is needed — we can advise on the appropriate solution.
Not necessarily. If you are already on Sage Accounting or Sage 50 and your data is well organised, switching software adds migration cost and disruption without clear benefit. Xero has a slightly more intuitive adviser-access model, but Sage works well for outsourcing once shared access is set up. The decision is worth reviewing only if you are on a legacy Sage version (pre-2019) or experiencing frequent sync issues with Sage 50 remote access.
