Your Options for QuickBooks Management
| Option | Cost | Pros | Cons |
|---|---|---|---|
| Manage it yourself | Your time (~5–10 hrs/month) | Zero cost | High error rate without accounting training; miscodings cost you at tax time |

What Sharma Jyoti and Co Does in QuickBooks Each Month
- Bank and credit card feeds: All business accounts connected and reconciled to the bank statement — every transaction matched, no uncleared items left
- Transaction categorization: Every income and expense coded to the correct tax line (Schedule C, Form 1065, or Form 1120-S as appropriate)
- Month-end reconciliation: Closing balance in QuickBooks matches your bank statement to the cent
- 1099-NEC tracking: Every contractor paid $600+ flagged throughout the year — no January scramble
- Monthly reports: P&L and balance sheet delivered by the 10th of the following month
- Quarterly estimated tax data: Net income summary for your CPA to calculate quarterly payments
- Year-end CPA workpaper package: Full package delivered by January 31 — included in the standard fee
How to Give Access Safely — Step by Step
Step 1: In QuickBooks Online → Settings (gear icon) → Manage Users → Invite User
Step 2: Enter the bookkeeper's email address. Set role to Accountant (not Admin)
Step 3: The accountant role gives full bookkeeping access — transaction entry, reconciliation, reports — but no access to your billing, subscription, or admin settings
Step 4: You remain the primary admin. Remove access at any time from the same Manage Users screen.
What Sharma Jyoti and Co never has: We operate exclusively through the QuickBooks accountant user role. We do not have access to your subscription billing, bank login credentials, or admin settings. Your books are in your account — we can only be removed as a user, not take anything with us.
What to Send on Day One
- QuickBooks Online accountant invite (we send you the email address to use)
- Last 3 months of bank and credit card statements for all business accounts
- Your most recent filed tax return (so we understand your entity type and prior-year categories)
- Any notes on recurring unusual transactions — loan payments, owner draws, reimbursements
Onboarding takes 2–3 business days. We review the current state of your books, document any cleanup needed (quoted separately if significant), and take over from the beginning of the current month.
