What Is the Dedicated Bookkeeper Model?
The dedicated model is different from general outsourcing. In standard outsourcing, you send files to an Indian firm and a team handles the work — the same person may not work on your accounts each month. In the dedicated model, one specific ICAI-registered CA or experienced accountant is allocated to your business and works on your accounts exclusively during agreed hours.
The result is much closer to the experience of having an in-house employee. Your dedicated bookkeeper learns your business: your chart of accounts, your suppliers and customers, your reporting preferences, your industry, and the recurring entries that appear every month. Over time, they function as a genuine extension of your finance function — not a generic production resource.
The engagement is structured as a B2B services contract between your business and an Indian CA firm, which then assigns the dedicated team member. This means no US visa, no US payroll, no employer tax obligations, and no benefits administration on your side — the Indian firm handles all of that for their employee in India.
Dedicated Indian Bookkeeper vs US Hire — Full Cost Comparison
The cost difference between a dedicated Indian bookkeeper and a US bookkeeper on payroll is substantial when all employment costs are factored in:
| Cost element | US full-time hire | Dedicated Indian bookkeeper |
|---|---|---|
| Monthly salary / retainer | $3,750–$5,833/month | $1,000–$2,500/month |
| Employer payroll tax (~8%) | $300–$467/month | None |
| Health insurance | $500–$800/month | None |
| Paid leave allowance (15 days/yr) | $250–$350/month | None |
| Office space and equipment | $300–$500/month | None |
| Total monthly cost | $5,100–$7,950/month | $1,000–$2,500/month |
| Annual total cost | $61,200–$95,400/yr | $12,000–$30,000/yr |
| Annual saving | $31,200–$83,400 per year | |
At the mid-point of both ranges, a business replacing a US bookkeeper with a dedicated Indian CA is saving approximately $50,000 per year. For a small business with $1M–$3M in revenue, that is a material operational saving — reinvestable into growth, technology, or additional headcount in revenue-generating roles.
What a Dedicated Indian Bookkeeper Can Handle for a US Business
A dedicated ICAI-registered CA working for your US business can handle the full scope of routine bookkeeping and accounting production:
- Daily and weekly: Bank feed review, transaction categorisation, accounts payable and receivable posting, vendor payment recording
- Monthly: Full bank and credit card reconciliation, payroll journal entries, month-end close, P&L and balance sheet, management reports
- Quarterly: Sales tax data assembly, quarterly management accounts, variance analysis against prior periods
- Annually: Year-end workpapers, trial balance preparation ahead of CPA tax filing, 1099 data compilation
- Ongoing: QuickBooks or Xero maintenance, chart of accounts management, vendor and customer record management

How to Hire a Dedicated Indian Bookkeeper — Step by Step
| Step | What happens | Your time |
|---|---|---|
| 1. Discovery call | Discuss your business, transaction volume, software, reporting needs, and hours required | 30–60 minutes |
| 2. NDA and agreement | Sign non-disclosure and service agreement; agree monthly retainer, hours, and deliverables | 1–2 hours (review) |
| 3. Bookkeeper match | Indian CA firm assigns a bookkeeper matched to your industry and software — you can interview them | 30–60 minutes |
| 4. Software access | Share QuickBooks Online / Xero access; set up secure file transfer for source documents | 1–2 hours |
| 5. Style guide | Provide chart of accounts guide, categorisation rules, report templates, and any recurring entry notes | 2–4 hours |
| 6. First month trial | Bookkeeper works on your accounts; you review deliverables at month end and provide feedback | 2–3 hours (review) |
| 7. Ongoing operation | Monthly deliverables, weekly or daily bank posting as agreed, monthly review call | 1–2 hours/month |
Total time investment from your side in the first month is typically 8–12 hours — primarily in setting up the style guide and reviewing the first month's work. From month two onwards, your time commitment drops to 1–3 hours per month for review and communication.
Is It Legal to Hire an Indian Bookkeeper for a US Business?
Yes — and there are no complicated legal hurdles. Engaging an Indian CA firm to provide a dedicated bookkeeper is a B2B service contract, not employment. Because the bookkeeper remains an employee of the Indian CA firm (not your US business), none of the following apply:
- US work visa or immigration requirement — the bookkeeper works in India
- US employer payroll tax registration — you pay a services invoice, not payroll
- IRS Form W-2 or 1099-NEC filing for the bookkeeper — the Indian firm handles Indian payroll
- US employment law obligations — no minimum wage, overtime, or discrimination law applies to the B2B contract
- State employment registration — services contracts do not create a presence obligation in the same way that hiring creates payroll nexus
The arrangement is the same as engaging any professional services firm. You receive services and pay invoices — the Indian firm manages the employment relationship with its own staff. See our dedicated guide at Is it legal to hire an Indian accountant? for a more detailed legal overview.
What to Include in Your Engagement Agreement
Before the dedicated bookkeeper starts work, the service agreement with the Indian CA firm should cover:
- Scope of work: Specific tasks, monthly deliverables, and turnaround deadlines
- Hours and availability: Agreed working hours (typically IST overlap with your US time zone), response time expectations, and leave notification requirements
- Data security: Encryption in transit, access control standards, data retention and deletion policy, and which systems the bookkeeper can access
- NDA: Covering your client data, financial information, and any commercially sensitive information the bookkeeper will see
- Continuity: What happens if the assigned bookkeeper is unavailable — backup cover arrangements and knowledge transfer
- Termination: Notice period (typically 30–60 days), data return, and access revocation on ending the engagement
At Sharma Jyoti & Co, all of the above are included as standard in our service agreement. We do not start work before the NDA is signed and access is properly secured.
Dedicated Team vs Shared Outsourcing — Choosing the Right Model
The dedicated model is not always the right starting point. Here is how to choose:
| Factor | Choose dedicated model | Choose shared / overflow model |
|---|---|---|
| Monthly volume | 60+ hours consistently | Variable, under 40 hrs, or project-based |
| Complexity | Multi-entity, industry-specific, or advisory-adjacent work | Straightforward monthly reconciliation |
| Continuity preference | Same person every month, deep familiarity | Consistent output quality is sufficient |
| Integration | Need bookkeeper in team calls or meetings | Arm's-length file delivery is fine |
| Budget | Fixed monthly retainer is preferable | Pay-as-you-go, scale up and down |
Many businesses start with a shared outsourcing arrangement for the first one or two months, then transition to a dedicated model once volume and workflow are established. Both models are available through Sharma Jyoti & Co — see our cost calculator to understand the pricing difference for your volume.
