Why US CPA Firms Outsource Bookkeeping to India
The US accounting profession has faced a persistent staffing shortage for over a decade. According to AICPA data, the number of CPA candidates sitting for the exam has been declining since 2016. The result: qualified US bookkeeping and accounting staff are scarce, expensive, and difficult to retain.
Indian offshore staffing solves all three problems simultaneously:
- Cost: Indian bookkeeping staff cost $6–$15/hr equivalent versus $25–$50/hr for US staff. On a 500-hour-per-month engagement, that is $8,000–$20,000 per month in labour savings.
- Capacity: Offshore teams can absorb overflow work immediately — no recruiting cycle, no onboarding delay, no benefits overhead.
- Margin: CPA firms billing clients $80–$150/hr for bookkeeping work, while paying $10–$15/hr to an Indian firm, generate 80%+ gross margins on that work.
Our dedicated accountant service is specifically designed for CPA practices that want a long-term offshore team member, not just a transactional vendor.
The Two Engagement Models Available to CPA Firms
| Model | White-Label | Dedicated Team Member |
|---|---|---|
| How it works | Indian firm handles client files under your brand; shared staff pool | One or more Indian staff work exclusively for your firm during agreed hours |
| Client visibility | Clients see your firm name only | Clients see your firm name only |
| Best for | Overflow work, project-based capacity | Consistent volume, deep workflow integration |
| Staff familiarity | Varies by assignment | High — same person learns your clients |
| Cost structure | Per-file or per-hour billing | Monthly retainer (like a remote employee) |
| Minimum commitment | None or short-term | Typically 3 months minimum |
Most CPA firms start with white-label overflow work to test the relationship, then move specific recurring clients to a dedicated team member once confidence is established.
What to Look for in an Indian Bookkeeping Firm
Not all Indian bookkeeping firms are equal. Here is the checklist US CPA practices should use when evaluating a potential partner:
- ICAI registration: The firm's principal CA should be an active ICAI member. Verify at icai.org. This is the minimum credential standard — equivalent to a CPA or ACA.
- US GAAP training: Ask specifically whether their team is trained in US GAAP and familiar with IRS chart of accounts conventions, 1099 tracking, and payroll journal entries. Many Indian firms are strong in Indian standards but weak on US specifics.
- Software proficiency: QuickBooks (Online and Desktop), Xero, and FreshBooks are the core US CPA tools. Confirm the team works in these daily — not just theoretically.
- NDA and data security: The firm must provide a signed NDA and data processing agreement before accessing any client file. Ask about their data handling protocols — encryption in transit, access controls, staff background checks.
- English communication: All reports, emails, and calls must be in clear, professional English with no language barrier. Test this in your initial calls.
- References from US CPA clients: Ask for at least two references from existing US CPA firm clients (not just business owner clients). The requirements are different — CPAs need partners who understand practice management and deadline sensitivity.
Questions to Ask Before Signing an Engagement
Use these questions to separate genuine Indian CA firms from generic outsourcing vendors:
- What is your ICAI registration number, and can I verify it?
- How many US CPA firm clients do you currently serve, and in which states?
- Which QuickBooks versions does your team work in daily?
- How do you handle a situation where a client file has a material error from a prior period?
- What is your turnaround SLA for monthly close deliverables?
- Can we do a paid trial on one or two client files before committing to a longer engagement?
- What is your escalation process if a team member is unavailable?
- How do you handle US tax season workload peaks (January–April)?
How to Run a Paid Trial Before Committing
The single most important step before signing a long-term offshore bookkeeping contract is a paid trial. Here is how to structure it:
- Select one or two client files — ideally a mid-complexity client, not your most difficult or your easiest.
- Agree a fixed price for the trial month and clear deliverables: reconciled accounts, P&L, balance sheet, and any custom reports you normally provide.
- Set a deadline — typically the 5th business day of the following month.
- Evaluate on: accuracy of reconciliation, correctness of categorisation, formatting consistency with your firm's templates, and responsiveness of communication.
- If the trial meets your standards, formalise the engagement with a service agreement. If not, you have lost one month's fee — not a long-term commitment.
At Sharma Jyoti & Co, we actively encourage trial engagements for CPA firm clients. We want you to evaluate our work on real files before committing. See our bookkeeping service page for what a standard engagement includes, and our US services page for how we work specifically with American clients.
