Messy vs Behind — What Is the Difference?
There are two distinct problems that often get confused:
- Behind on bookkeeping — your books are current up to a date but have not been updated since. The problem is a timing gap. Solution: catch-up bookkeeping to bring transactions current. See our catch-up bookkeeping guide.
- Messy books — your books are technically current but the records are inaccurate — wrong accounts, duplicates, payroll errors, unreconciled balances. The problem is data quality, not timing. Solution: a books cleanup to find and fix the errors.
Some businesses have both problems simultaneously. In that case we handle the cleanup first and then catch up the backlog, because cleaning up incorrect records in a backlog period is more efficient than catching up first and then finding errors.
Signs Your QuickBooks Books Need a Cleanup
- Your P&L shows expenses in categories that do not match your actual spending — e.g. software subscriptions coded to "office supplies" or meals coded to "travel"
- Your bank reconciliation has open items older than 30 days — transactions that cleared the bank but are not matched in QuickBooks, or vice versa
- Your balance sheet has a large "uncategorized expense," "uncategorized income," or "ask my accountant" balance
- Your opening balance equity account has a balance (this signals prior-period entries that were not properly posted)
- Your CPA flagged multiple corrections last year before they could file
- Your payroll liabilities account has a balance that does not match your actual payroll tax deposits
- You have duplicate vendor or customer names (e.g. "Amazon," "Amazon.com," "AMAZON") — these fragment expense history and make 1099 tracking unreliable
What Our Cleanup Process Covers
| Cleanup Task | What We Do | Why It Matters |
|---|---|---|
| Chart of accounts audit | Review every account for duplicates, incorrectly created accounts, and accounts that should be merged | A clean chart of accounts is the foundation — everything else depends on it |
| Transaction recoding | Identify and recode every transaction in the wrong account using IRS-compliant categories | Correct coding = correct deductions on your return |
| Duplicate removal | Find and remove duplicate transactions — common when bank feeds are imported multiple times | Duplicates inflate expenses and distort your P&L |
| Bank reconciliation | Clear all outstanding reconciliation items by matching to bank statements month by month | Unreconciled accounts mean your balance sheet cannot be trusted |
| Payroll corrections | Correct FICA entries, withholding accounts, and employer tax liabilities to match payroll software reports | Payroll errors carry direct IRS penalty risk |
| Accounts payable cleanup | Remove bills that were entered but never paid or already paid outside QuickBooks; clear aged items | Inflated AP balances distort your balance sheet and cash flow |
| Accounts receivable cleanup | Write off genuinely uncollectable invoices; correct payments applied to wrong invoices | Accurate AR is required for accrual-basis reporting |
| Opening balance corrections | Correct any opening balance equity entries from prior periods | Opening balance errors compound every year if not fixed |
What We Deliver After a Cleanup
- Cleanup summary report — a written list of every change made, with the before and after for each correction, so you and your CPA can see exactly what was fixed
- Clean trial balance — all accounts reconciled, correct balances, ready for your CPA to use for tax filing
- Restated P&L and balance sheet — accurate financial statements reflecting corrected coding and reconciled balances
- Ongoing bookkeeping proposal — optional: once your file is clean, we can take over monthly bookkeeping to keep it that way at $200–$500/month
How Much Does a Cleanup Cost?
| Complexity | Typical Scenario | Our Fixed Fee | Timeline |
|---|---|---|---|
| Simple | Miscoded transactions, a few duplicates, 2–4 months of unreconciled accounts | $300–$600 | 3–5 business days |
| Moderate | Chart of accounts restructure, 6–12 months reconciliation, some payroll corrections | $600–$1,000 | 1–2 weeks |
| Complex | Multi-year cleanup, payroll reconstruction, opening balance errors, AP/AR cleanup | $1,000–$1,800 | 2–4 weeks |
| Very complex | Multiple entities, multi-year, significant payroll errors or missing bank statements | Quoted after review | 4–8 weeks |
We always quote a fixed price — not an hourly rate — after reviewing your QuickBooks file. We request Accountant access, review the file for 1–2 hours, and provide a written fixed-price quote and timeline within 24 hours. You decide whether to proceed.
