Who Uses FreshBooks — and Why Outsourcing Bookkeeping Makes Sense
FreshBooks is built for service businesses — freelancers, consultants, agencies, tradespeople, and small professional practices that bill clients for time or project work. Its invoicing, time tracking, and expense capture features are genuinely better than QuickBooks for this use case. A freelance designer, a small marketing agency, or an independent contractor can get up and running in FreshBooks in an hour and have professional invoices going out the same day.
The challenge is that invoicing and bookkeeping are not the same thing. FreshBooks handles invoicing well — but keeping the books accurate requires someone to reconcile the bank account regularly, code expenses to the correct categories, match incoming payments to outstanding invoices, and produce a clean P&L each month that your US CPA can use for Schedule C or your business tax return. Most FreshBooks users do this themselves, badly and irregularly, and spend the first few months of each year trying to untangle the previous year's books before the April 15 deadline.
Outsourcing this work to an ICAI-registered Indian CA firm costs $100–$350 per month for a typical freelancer or small service business — less than most US freelancers spend on a single software subscription. The Indian team keeps your FreshBooks books current every month, so there is no year-end scramble and your CPA has clean workpapers on day one of tax season.
FreshBooks Bookkeeping Costs: DIY vs Local Bookkeeper vs India
| Approach | Monthly cost | Risk | Time saved |
|---|---|---|---|
| DIY (owner does it) | $0 cash, 5–15 hrs/mo | High — errors, missed deductions | 0 hrs |
| Local US bookkeeper | $400–$1,200/mo | Low | 5–15 hrs/mo |
| Indian CA firm (overseas) | $100–$350/mo | Low | 5–15 hrs/mo |
For a freelancer billing $8,000–$15,000 per month, spending $100–$350 on outsourced bookkeeping represents 1–4% of revenue — and buys back 5–15 hours per month that go back into billable work. The return on investment is immediate. See our bookkeeping service page and US services overview for how we price FreshBooks engagements.
What the Indian CA Team Does in Your FreshBooks Account
- Bank account reconciliation: Every transaction in your FreshBooks bank feed matched and coded. Payments from clients matched to the invoices they relate to. Expenses categorised correctly — software subscriptions, contractor payments, home office, travel, and equipment all in the right buckets for Schedule C.
- Invoice-to-payment matching: Payments received via Stripe, PayPal, ACH, or check matched against the outstanding invoices in FreshBooks. Partial payments and deposits tracked. Aged receivables report maintained monthly so you know exactly who owes you money.
- Expense coding: All business expenses coded to the correct IRS-recognised expense categories. Meals at 50%, home office at the correct rate, vehicle mileage if applicable, and contractor payments flagged for 1099 tracking at year-end.
- 1099 contractor tracking: Payments to US contractors tracked throughout the year. At year-end, the Indian CA team provides a list of contractors who have been paid $600 or more — the data needed to issue 1099-NEC forms before the January 31 deadline. See our 1099 preparation guide for details.
- Monthly P&L report: Clean profit and loss statement delivered in FreshBooks each month. Revenue by client, expenses by category, net profit — the numbers you need to make decisions and to brief your CPA at year-end.
- Year-end workpapers: Trial balance and supporting schedules prepared for your US CPA ahead of tax filing season. Clean data reduces the time your CPA spends on your return — which reduces your CPA bill.
How to Invite an Indian CA Firm to Your FreshBooks Account
FreshBooks makes it straightforward to give an external bookkeeper access without sharing your password. The process:
- In FreshBooks, go to Settings → Team Members → Invite Team Member
- Enter the Indian CA firm's email and assign the Accountant role
- The Accountant role gives access to all financial reports, transactions, invoices, and expenses — but not to client contact data beyond what is needed for bookkeeping
- The firm accepts the invitation via email and can begin reconciling immediately
No software installation, no VPN, no password sharing. The Indian team works directly in your FreshBooks account from India, overnight, using the same interface you use during the day.
FreshBooks Limitations — When to Consider Migrating
FreshBooks is the right platform for many US freelancers and small service businesses, but it has limitations worth understanding before committing to it as your long-term accounting system:
- Inventory: FreshBooks does not handle inventory tracking. If you sell physical products, QuickBooks Online or Xero are better options.
- Payroll: FreshBooks does not have a built-in payroll module for US businesses. If you have employees, you need a separate payroll app — Gusto is the most common pairing. The Indian CA team posts the payroll journal entries from Gusto into FreshBooks each pay period.
- US CPA compatibility: Many US CPAs prefer QuickBooks Online for preparing tax returns because it integrates directly with their tax software (Drake, UltraTax, Lacerte). If your CPA requires QuickBooks, you may need to export FreshBooks data at year-end — the Indian CA team can handle this export and conversion as part of the engagement.
- Double-entry accounting: FreshBooks uses a simplified accounting model that is not full double-entry. For complex businesses with multiple balance sheet accounts, accruals, or intercompany transactions, QuickBooks or Xero offer more robust accounting controls.
