Why QuickBooks Works Well for Offshore Bookkeeping
QuickBooks Online was built for remote, cloud-based collaboration. Its Accountant Access feature lets you add an external bookkeeper — anywhere in the world — with granular permission controls. Your Indian bookkeeper sees exactly what you allow them to see and nothing else. All activity is logged, and access can be revoked in seconds from your Settings panel.
This makes outsourced bookkeeping via QuickBooks particularly smooth. There is no file transfer, no version mismatch, and no sync delays. Both you and your bookkeeper are working in the same live company file at all times.
QuickBooks Desktop also works, though collaboration requires either a remote desktop connection (Splashtop, AnyDesk, or similar) or periodic secure file transfers via an encrypted channel. Many businesses with Desktop eventually migrate to QBO for the remote access benefits — but it is not a requirement.
Step-by-Step: How to Grant QuickBooks Online Access to an Indian Bookkeeper
- Log into QuickBooks Online as the primary administrator.
- Go to Settings (gear icon) → Manage Users.
- Click Invite Accountant (not "Add User" — the Accountant role has broader access permissions designed for bookkeepers).
- Enter your Indian bookkeeper's email address. They receive an invitation email.
- They accept the invite and access your company file through their free QuickBooks Online Accountant (QBOA) portal — no QBO subscription required on their end.
- Set access permissions: standard Accountant access includes all reports, transactions, and bank feeds. You can restrict payroll or payroll settings if preferred.
The entire process takes under five minutes. Your bookkeeper can begin work immediately after accepting the invitation.
QuickBooks Plans — What Your Indian Bookkeeper Can Access
| QBO Plan | Accountant Access Available? | Bank Feed Sync | Max Users |
|---|---|---|---|
| Simple Start | Yes | Yes | 1 + accountant |
| Essentials | Yes | Yes | 3 + accountant |
| Plus | Yes | Yes | 5 + accountant |
| Advanced | Yes | Yes | 25 + accountant |
For most small US businesses, the Essentials or Plus plan is sufficient. Your Indian bookkeeper's QBOA portal login does not count toward your user limit.
What to Share With Your Indian Bookkeeper at Onboarding
Beyond QuickBooks access, your bookkeeper needs context to do accurate work. At onboarding, share the following:
- Chart of accounts — or give them an existing one to review. They will flag anything that looks miscategorised.
- Bank and credit card statements for the current period (and any backlog months if applicable).
- Vendor list with categorisation preferences — e.g., "Amazon purchases go to Office Supplies unless over $500, then Fixed Assets."
- Payroll provider details — ADP, Gusto, Paychex, etc. Your bookkeeper needs to post payroll journal entries after each run.
- Loan and liability schedule — so they can post principal vs interest splits correctly.
- Prior year financials or trial balance — for opening balances if this is a new QBO file.
A reputable Indian CA firm will provide a structured onboarding checklist. At Sharma Jyoti & Co, we send this before the first working session so nothing is missed.
How the Monthly Workflow Runs
A typical monthly QuickBooks bookkeeping cycle with an Indian team looks like this:
| Week | Activity | Who Does It |
|---|---|---|
| During month | Bank feeds auto-import transactions; bookkeeper categorises daily | Indian bookkeeper |
| End of month | Reconcile all bank and credit card accounts | Indian bookkeeper |
| 1st–3rd business day | Post payroll journals, accrue prepayments, adjusting entries | Indian bookkeeper |
| By 5th business day | Deliver P&L, balance sheet, and any custom reports | Indian bookkeeper |
| Upon receipt | Review reports, ask questions via email | Business owner / US CPA |
Time zone difference is an asset here: tasks assigned in the evening US time are typically completed by the following morning, giving you a 24-hour effective turnaround without anyone working late.
Handling the Time Zone Difference
India Standard Time (IST) is 9.5–12.5 hours ahead of US time zones depending on your location. In practice, this means:
- Questions sent by 6 PM Eastern get replies by 8–9 AM Eastern the next morning.
- Urgent items can be handled via WhatsApp or email with same-day turnaround if sent before noon Eastern.
- Monthly close tasks assigned on the last business day of the month are ready by the 2nd–3rd business day of the following month.
At Sharma Jyoti & Co's US bookkeeping service, our team schedules overlap hours with US Eastern and Pacific time to ensure real-time availability for at least part of each business day.
QuickBooks Desktop — How It Works for Offshore Bookkeeping
If you use QuickBooks Desktop (Pro, Premier, or Enterprise), there are two standard approaches:
- Remote desktop access: Your bookkeeper connects to your QuickBooks Desktop installation via Splashtop, TeamViewer, or AnyDesk. They work in real time on your system. This is the most seamless option for Desktop users.
- File transfer: You export a QuickBooks backup (.qbb) file at agreed intervals, share it securely (via encrypted file share, not email), your bookkeeper works offline, and sends back a completed file. Less ideal for high-volume businesses.
If you are considering upgrading, QuickBooks Online offers a one-time migration tool that converts most Desktop company files with full transaction history intact. See our US bookkeeping cost guide for how QBO and Desktop compare on monthly pricing.
