Xero in the US — Who Uses It and Why Outsourcing Works
Xero has carved out a meaningful share of the US small business accounting market, particularly among businesses that work with Australian or New Zealand-linked accountants, e-commerce sellers who use Xero integrations like A2X, and businesses that prefer Xero's cleaner bank reconciliation interface over QuickBooks Online. While QuickBooks dominates at the US CPA firm level, Xero is the preferred platform for a growing segment of US small business owners who want cloud-native, collaboration-friendly accounting software.
Xero's architecture is well-suited to outsourced bookkeeping. The Adviser access role allows an external team to do everything needed for production bookkeeping — reconcile bank feeds, code transactions, post journals, run reports — without giving them access to payroll, subscription billing, or the ability to modify user permissions. This is exactly the access model that makes working with an overseas Indian CA firm both practical and secure.
India is 10.5–13.5 hours ahead of US time zones. Transactions that accumulate during US business hours are reconciled overnight by the Indian CA team and ready in Xero the following morning. There is no backlog, no month-end crunch, and no dependency on a local bookkeeper's availability.
Xero Bookkeeping Costs: US Bookkeeper vs Indian CA Firm
| Task | US bookkeeper rate | Indian CA firm (overseas) | Saving |
|---|---|---|---|
| Bank feed reconciliation | $250–$500/mo | $50–$100/mo | 70–80% |
| Transaction coding and review | $200–$400/mo | $40–$80/mo | 70–80% |
| Accounts payable entry | $150–$300/mo | $30–$65/mo | 70–80% |
| Payroll journal entries | $100–$200/mo | $20–$45/mo | 70–80% |
| Monthly close and management report | $300–$600/mo | $60–$130/mo | 70–80% |
| Year-end workpapers for CPA | $400–$800 once | $80–$180 once | 75–80% |
Most US small businesses on Xero need 15–40 hours of bookkeeping per month. At $35–$55/hr locally that is $525–$2,200 per month. Outsourced to India at $6–$15/hr, the same work costs $90–$600 per month — a saving of $5,000–$19,000 per year. See our bookkeeping service and US services overview for full pricing.
How to Invite an Indian CA Firm to Your Xero Account
Xero's access model makes onboarding an overseas bookkeeper straightforward. No software installation, no sharing of passwords, no VPN required. The process:
- In Xero, go to Settings → Users → Invite a User
- Enter the Indian CA firm's email address and select the Adviser role
- The Adviser role gives full access to transactions, bank reconciliation, reports, and journals — but not to payroll, billing, or user management
- The Indian firm accepts the invitation via email and immediately appears in your Xero Users list
- They can begin reconciling bank feeds and coding transactions the same day
If you want more granular control, Xero also supports read-only access for reporting and a Standard role with slightly more limited permissions than Adviser. For production bookkeeping, Adviser is the correct role — it gives the overseas team everything needed to keep your books current without over-privileging the access.
What the Indian CA Team Does in Your Xero Account Each Month
- Bank feed reconciliation: Every transaction in your Xero bank feed matched, coded to the correct account, and reconciled to your bank statement. Unmatched items investigated and resolved. Bank reconciliation report clean at month-end.
- Transaction coding: All imported transactions coded to the correct expense or income account using your chart of accounts. Rules set up in Xero to automate recurring coding for known vendors and categories.
- Accounts payable: Supplier bills entered in Xero as they arrive, coded correctly, and aged payables report maintained. See our accounts payable service for more detail.
- Payroll journals: If you run payroll via Gusto, ADP, or another provider, the Indian CA team posts the payroll journal entries to Xero monthly — gross wages, employer taxes, net pay, and benefit deductions all allocated to the correct accounts.
- Accounts receivable: Sales invoices entered or imported, payments matched against invoices, and aged receivables report prepared monthly.
- Monthly close: All accounts reconciled, prepayments and accruals posted where applicable, and a clean P&L and balance sheet delivered in Xero by the agreed close date each month.
- Year-end workpapers: Trial balance prepared and formatted for your US CPA. Schedules for fixed assets, prepayments, accruals, and loan balances prepared so your CPA can file quickly without chasing supporting data.
Xero vs QuickBooks — Does It Affect How India Handles Your Books?
From a bookkeeping-production standpoint, the difference between Xero and QuickBooks Online is mainly interface — the underlying tasks are the same. Both platforms support external accountant access, bank feed reconciliation, transaction coding, and monthly close. An ICAI-registered Indian CA firm with US clients works in both.
There is one practical consideration worth flagging. QuickBooks Online is the dominant platform at the US CPA firm level. Most US CPAs use QuickBooks for their own work and for preparing client tax returns. If your CPA bills you for time spent converting your Xero data into a format they can use, that cost offsets some of the saving from outsourcing bookkeeping to India. Before committing to Xero, confirm with your CPA whether they work in Xero directly or require QuickBooks — if the latter, outsourcing QuickBooks bookkeeping to India may be the more practical path.
If your CPA is Xero-familiar or if you are not yet using a CPA, Xero with an Indian CA bookkeeping team is a clean, cost-effective setup that requires no additional conversion step.
Xero Integrations the Indian CA Team Works With
Xero's app marketplace has hundreds of integrations. The Indian CA team manages the bookkeeping workflow across the most commonly used US integrations:
- A2X: Automates journal entries from Amazon FBA and Shopify into Xero. The Indian team configures A2X, reviews each import for accuracy, and reconciles the journal entries against bank deposits monthly.
- Gusto: US payroll app. Gusto exports payroll journals to Xero automatically — the Indian team reviews the import each pay period and posts any adjustments needed.
- Stripe: Stripe's Xero integration imports transactions automatically. The Indian team reconciles Stripe payouts against bank deposits and codes processing fees separately.
- Hubdoc / Dext: Document capture apps that feed receipts and bills into Xero. The Indian team reviews and approves the auto-coding suggestions, correcting any misclassifications before they hit your accounts.
- Cin7 / Dear Inventory: Inventory management apps connected to Xero. The Indian team reconciles inventory movements and COGS entries each month.
