Why UK Businesses Switch to an Indian CA Firm

The most common reasons UK businesses give when switching from a local bookkeeper to an Indian CA firm are cost, responsiveness, and scope of work. Understanding these helps you assess whether switching is right for your business before you start the process:

  • Cost: A UK bookkeeper typically charges £25–£45 per hour or £200–£600 per month for monthly bookkeeping. An Indian CA firm charges £80–£250 per month for the same scope — a saving of 50–70% for most small businesses.
  • Qualifications: Many UK bookkeepers are AAT-qualified or unqualified. An Indian CA is an ICAI Chartered Accountant — equivalent in professional standing to an ICAEW ACA or ACCA — who can also prepare management accounts, year-end accounts, and the Corporation Tax return. You get a higher-qualified professional at a lower cost.
  • Responsiveness: Sole-trader bookkeepers often have backlogs during busy periods. An Indian CA firm has a team structure — your work is not dependent on a single person's availability.
  • Scope: Many UK small businesses use separate providers for bookkeeping, payroll, and year-end accounts. An Indian CA firm typically handles all three, reducing co-ordination overhead and the cost of data handover between providers.
  • Software: Xero and QuickBooks Online are cloud-based — remote access works as well from India as from a UK office. There is no functional disadvantage to the Indian team working in the same software your UK bookkeeper used.

Step 1 — Check Your Contract and Give Notice

Before doing anything else, check what notice period your current bookkeeper arrangement requires. The situation varies significantly:

  • No written contract: Many small business bookkeeping relationships operate informally, with no signed agreement. In this case, a reasonable notice period — typically 30 days — is standard professional practice. Give notice in writing (email is sufficient) and confirm the handover date.
  • Written contract with notice clause: Most formal bookkeeping agreements specify a 1–3 month notice period. Check your agreement before giving notice — departing without notice may leave you liable for fees during the notice period.
  • Monthly rolling contract: If you pay monthly with no minimum term, you can typically give 30 days' notice with effect from the next billing date.

Give notice in writing, confirming the date to which you expect the bookkeeper to complete work and by which date you need all records and credentials returned. Be professional — most bookkeepers handle departing clients correctly, and a co-operative handover serves both parties. You do not need to explain why you are switching.

Avoid a gap at VAT filing or payroll time: Time your handover to avoid a transition during a VAT quarter-end or payroll run. If your VAT quarter ends in January, giving notice in November and targeting a 1 January handover means your outgoing bookkeeper completes the November quarter-end work before leaving, and the Indian CA team picks up cleanly in January. Discuss timing with the Indian CA team before you give notice — they will advise on the optimal handover date.

Step 2 — Recover Your Records and Login Credentials

Your financial records belong to you, not to your bookkeeper. UK law is clear on this: bookkeepers have no right to retain client records, and you are entitled to everything in full. Request the following in writing as part of your notice communication:

CategoryWhat to RequestNotes
Accounting softwareFull admin access to your Xero or QuickBooks organisation. Removal of the outgoing bookkeeper as a user once the Indian CA team is set up.You should already be the owner of the Xero/QuickBooks subscription — if you are not, get ownership transferred immediately. Never let a bookkeeper own your accounting software subscription.
HMRC accessGovernment Gateway user ID and password, or confirmation that the bookkeeper is an agent who has submitted on your behalf (in which case you need your own Government Gateway credentials)If the bookkeeper is an HMRC agent for your business, the Indian CA team will apply for agent authorisation separately — this takes 10–15 working days via HMRC's agent codes system
VAT recordsCopies of all VAT returns submitted, the VAT account reconciliation in the accounting software, and the VAT registration number and online account credentialsThe Indian CA team needs the last 2 VAT returns and reconciliations as a minimum to understand the opening position
Payroll recordsPayroll software access or export of full payroll history; RTI submission history; P60s for all employees; PAYE reference and PAYE Online accessIf the bookkeeper used their own payroll software (e.g. BrightPay, Sage Payroll), you need the payroll data exported in a standard format or transferred to software you control
Bank reconciliationConfirmed reconciled bank balance at the handover date, plus list of any outstanding unreconciled itemsA clean bank reconciliation at handover is the single most important item — without it, the Indian CA team cannot take over mid-year without significant additional review work
Trial balanceExported trial balance from the accounting software at the handover date, with all accounts reconciledRequest this in both PDF and CSV format
Outstanding itemsA list of any items in progress at handover — unpaid invoices, outstanding supplier invoices, any known errors being investigated, pending HMRC queriesUndisclosed outstanding items are the main cause of confusion in the first month after a switch
Historical documentsCopies of any paper documents held by the bookkeeper — original invoices, contracts, agreementsHMRC requires you to retain records for 6 years — do not lose access to historical documents
Legal position — if your bookkeeper refuses to hand over records: Your financial records are your property. A bookkeeper cannot legally withhold them to extract payment or for any other reason. If you owe fees, that is a separate matter to be resolved separately — it does not give the bookkeeper the right to retain your records. If an outgoing bookkeeper refuses to return records, send a written demand by email stating your legal ownership of the records and requesting return within 7 days. If they continue to refuse, the matter can be referred to their professional body (ICB, AAT, or ACCA), the Financial Ombudsman, or Small Claims Court. In practice, this situation is uncommon — most bookkeepers hand over records promptly.

Step 3 — Brief the Indian CA Team

Once you have given notice and recovered (or are in the process of recovering) your records, brief the Indian CA team on your business. A good onboarding call covers:

  1. Business structure: Limited company, LLP, or sole trader. Financial year-end date. VAT registration status and VAT scheme (standard rated, flat rate, cash accounting).
  2. Software: Which accounting software you use (Xero or QuickBooks). Confirm that the Indian CA team has been added as an adviser and has full access.
  3. Revenue and cost structure: How the business earns revenue (invoicing, subscription, retail, etc.), the main cost categories, and any unusual items (director loans, intercompany transactions, part-business-use assets).
  4. Payroll: Number of employees, pay frequency (weekly, monthly), whether any employees are on variable hours, whether auto-enrolment is in place and which provider.
  5. VAT: Which VAT scheme, quarter-end dates, any partial exemption or complex VAT treatments.
  6. Outstanding items from the outgoing bookkeeper: Anything flagged as in-progress or unresolved at the handover date.
  7. Timing and deadlines: Next VAT return due date, next payroll run date, next filing deadline (Companies House, HMRC).

The Indian CA team will review the trial balance and chart of accounts from the outgoing bookkeeper, raise any queries, and confirm the opening position before beginning work. This review typically takes 3–5 working days for a clean set of books.

Step 4 — Agree the Handover Date and Execute the Transfer

The cleanest handover date is the last day of a calendar month, since bookkeeping is naturally structured around monthly periods. The process on handover day:

  1. Outgoing bookkeeper completes and reconciles all transactions up to and including the handover date
  2. Outgoing bookkeeper exports the reconciled trial balance and sends it to you (and to the Indian CA team if you choose)
  3. Outgoing bookkeeper is removed from the accounting software — or at minimum, their access is changed to read-only so they cannot make further entries
  4. Indian CA team is confirmed as active advisers in the accounting software from the handover date forward
  5. Any HMRC agent authorisation codes are transferred or applied for by the Indian CA team

From this point, all new transactions are processed by the Indian CA team. The outgoing bookkeeper should not make any entries in the accounting software after the handover date — any late invoices or corrections for the period before handover should be communicated to the Indian CA team as a list of adjustments, not made directly in the software.

Step 5 — Verify the First Month

For confidence in the transition, some businesses choose to run a verification step for the first month. This is optional but recommended for businesses with complex accounts or a history of errors:

  • Bank reconciliation check: At the end of the first month, confirm that the bank balance in the accounting software matches your actual bank statement to the penny. A clean bank reconciliation after month 1 is the strongest indicator that the transition has been executed correctly.
  • Trial balance comparison: Compare the closing trial balance for month 1 with the opening trial balance from the handover date. Any unexpected movements in balance sheet accounts (other than trading activity and known adjustments) warrant a query.
  • VAT reconciliation: If the first month includes a VAT quarter-end, review the VAT return figures with the Indian CA team before submission. Understand the output and input tax figures and confirm they match your expectations.
  • Payroll check: Confirm that net pay figures for the first payroll run match your expectations and that RTI submission confirmation has been received from HMRC.

Most businesses find the verification step takes less than an hour of owner time. The Indian CA team prepares a brief reconciliation summary for the first month as standard — so you are not reviewing raw numbers in isolation. Our outsourced bookkeeping service includes a month-end summary with every month's work, making ongoing verification straightforward.

Mid-Year Switching — Is It Complicated?

Switching mid-financial-year is entirely routine. The Indian CA team takes on the accounts from the handover date and works with the year-to-date figures already in the accounting software. The only additional step compared to a year-end switch is that the team reviews the bookkeeping for the period before handover — not to redo it, but to understand the opening position and identify any known issues.

For the year-end accounts, the Indian CA team prepares the full-year statutory accounts using both the period before and after the handover date. If there were errors in the outgoing bookkeeper's work, the team identifies and corrects them during the year-end process — this is normal and does not require starting over. Our year-end accounts guide covers what the Indian CA team needs to produce the statutory accounts, and our UK services page explains the full scope of what we handle for UK businesses.

Frequently Asked Questions

Most UK businesses complete the switch within 4–6 weeks. The timeline depends mainly on your notice period with the outgoing bookkeeper and how quickly they hand over records and logins. If your contract has a 1-month notice period and your outgoing bookkeeper co-operates promptly, the Indian CA team can be fully operational within 6 weeks of giving notice. Switching at month-end or year-end is cleaner but not essential — a mid-year switch is straightforward for a competent Indian CA team.

No. Under UK law, your financial records belong to you, not to your bookkeeper. Bookkeepers have no legal right to withhold client records as a way of extracting payment or for any other reason. HMRC also requires that businesses retain certain records for a minimum of 6 years — which means you must be able to access them. If an outgoing bookkeeper refuses to hand over records, you can notify them in writing that you are demanding return of your records under your legal ownership rights. If they continue to refuse, this is a matter for the Financial Ombudsman or Small Claims Court.

Switching at year-end is cleaner but not necessary. A year-end switch means the Indian CA team starts with a clean set of brought-forward figures and does not need to review mid-year bookkeeping done by someone else. A mid-year switch requires the Indian CA team to review and accept the opening position from the outgoing bookkeeper — which adds a small amount of work but is entirely routine. The right time to switch is when you are ready, not when the calendar dictates it.

You need to recover: your Xero or QuickBooks login and admin access (the bookkeeper should be removed as a user once the Indian CA team is added), your HMRC Online Services login and Government Gateway credentials, your VAT online account access, your PAYE Online access if the bookkeeper handled payroll, your Companies House WebFiling or Authenticate login, and any payroll software credentials. You also need bank portal access if the bookkeeper had view-only access to your business bank account for reconciliation purposes.

There should be no gap if the handover is planned correctly. The outgoing bookkeeper completes work up to the agreed handover date (typically month-end), provides a trial balance and list of outstanding items, and the Indian CA team picks up from that point. If you run a parallel month — where both the outgoing bookkeeper and the Indian CA team process the same month's transactions independently and compare outputs — you can verify accuracy before fully transferring. This is optional but gives additional confidence during the transition.
