How to Give an Indian CA Firm Access to QuickBooks Online
QuickBooks Online has a built-in accountant access system that is specifically designed for this kind of arrangement. You do not share your password. The Indian CA firm is invited by email and accesses your books through their own separate QuickBooks Accountant login.
The setup process takes less than five minutes:
- Log into your QuickBooks Online account and go to Settings → Manage Users.
- Select the Accountants tab.
- Enter the email address of the Indian CA firm and click Invite.
- The firm receives the invitation, creates a free QuickBooks Accountant account (if they do not already have one), and accepts.
- They now have access to your books with accountant-level permissions — which includes everything except changing your subscription or billing details.
You can see everything the Indian team does inside QuickBooks through the Audit Log (Settings → Audit Log). Every transaction they create, edit, or delete is recorded with their username and a timestamp. You are never in the dark about what has changed in your books.
To revoke access at any time: Settings → Manage Users → Accountants → Remove. The firm immediately loses all access.
What an Indian CA Firm Can Handle Inside QuickBooks UK
Once access is set up, the Indian team works inside your QuickBooks file exactly as a local bookkeeper would — the only difference is the time zone. For UK businesses, the Indian team typically works IST (UTC+5:30), which means completed work is often waiting for you at the start of your UK working day.
Tasks the Indian CA firm handles in QuickBooks:
- Bank reconciliation — connecting the bank feed or importing statements, matching transactions, resolving differences
- Expense coding — categorising every purchase to the correct nominal account (materials, travel, professional fees, etc.) following your chart of accounts
- Sales invoice processing — raising invoices if needed, recording receipts, chasing overdue invoices by flagging them to you
- Purchase invoice matching — logging supplier invoices, matching to bank payments, maintaining aged creditors
- VAT return preparation — computing Box 1–9 figures, identifying any coding errors before submission, producing the VAT return ready for your review and MTD filing
- Payroll journal entry — posting payroll figures if you use a separate payroll system, ensuring wages, PAYE, and NIC are correctly reflected in your accounts
- Monthly management reports — producing a Profit and Loss, Balance Sheet, and Aged Debtors/Creditors report at month-end
- Year-end trial balance — clearing suspense accounts, reconciling all balance sheet items, producing a clean trial balance for your accountant
Our outsourced bookkeeping service and bank reconciliation service follow this exact scope for UK QuickBooks clients. The monthly deliverable is a reconciled file with no uncleared items and a management summary ready for your review.
QuickBooks and Making Tax Digital — What Stays With You
QuickBooks Online is HMRC-recognised MTD-compatible software for both VAT and (from April 2026) Income Tax Self Assessment. This matters for how the Indian team's work connects to your HMRC submissions.
| Task | Indian CA Team | Who Submits to HMRC |
|---|---|---|
| VAT return preparation (Box 1–9) | Prepares inside QuickBooks | You (business owner) or authorised agent |
| MTD VAT submission | Cannot submit without agent authorisation | You submit via QuickBooks MTD connection, or we submit as your agent |
| MTD ITSA quarterly updates (from Apr 2026) | Prepares income/expense figures | You or authorised agent submits quarterly via QuickBooks |
| Self Assessment return | Prepares trial balance and expense schedule | You or authorised accountant files SA100 |
| PAYE RTI submissions | Posts payroll journal only | Your payroll software submits RTI directly to HMRC |
If you want the Indian CA firm to submit VAT returns directly, they must be authorised as your agent in HMRC Online Services. This is a separate authorisation from the QuickBooks invitation — it is done through HMRC's Government Gateway. Once authorised, the firm can file your VAT return from within QuickBooks using their agent credentials. QuickBooks Online UK Plans — Which One Works for Outsourcing
All paid QuickBooks Online plans support accountant access. Here is how they compare for a business planning to outsource bookkeeping:
| Plan | Monthly Cost (approx.) | Suitable for Outsourcing? | Key Limitation |
|---|---|---|---|
| Simple Start | ~£15/month | Yes — for sole traders and micro businesses | 1 user + accountant. No bill management. |
| Essentials | ~£25/month | Yes — most common choice | 3 users + accountant. Includes bill pay. |
| Plus | ~£35/month | Yes — for businesses needing project tracking | 5 users + accountant. Includes inventory. |
| Advanced | ~£90/month | Yes — larger businesses with complex reporting | 25 users. Best for multi-department reporting. |
| Self-Employed | ~£8/month | Not recommended | No accountant access. Limited VAT support. Avoid if outsourcing. |
For most UK sole traders and small limited companies outsourcing bookkeeping, Essentials at around £25 per month is the right level. It includes bill management, MTD VAT, and full accountant access. Simple Start works for very simple businesses with few supplier invoices to manage.
Cost: QuickBooks Outsourcing to India vs UK Alternatives
The software cost is only one part of the picture. Here is the total monthly cost comparison for a UK small business (VAT-registered, ~100 transactions per month):
| Option | Software | Bookkeeping | Total/Month |
|---|---|---|---|
| DIY with QuickBooks | £25 | Your time (est. 5–8 hrs) | £25 + time cost |
| UK freelance bookkeeper | £25 | £250–£450 | £275–£475 |
| UK accountancy practice | Often included | £350–£700 | £350–£700 |
| Indian CA firm (bookkeeping only) | £25 | £90–£160 | £115–£185 |
| Indian CA firm (bookkeeping + VAT + year-end) | £25 | £150–£250 | £175–£275 |
The cost saving versus a UK bookkeeper is typically £150–£300 per month for the same scope of work. Over a year that is £1,800–£3,600 — money that stays in the business.
Data Security: Is Your QuickBooks Data Safe With an Indian Firm?
This is the most common concern and it deserves a clear answer. There are two distinct layers to data security when outsourcing QuickBooks bookkeeping:
Intuit's Cloud Security
QuickBooks Online data is stored on Intuit's cloud infrastructure, not on any local computer — including the Indian firm's computers. When the Indian bookkeeper works in your QuickBooks account, they are accessing data through a web browser, not downloading it. Intuit uses 256-bit SSL encryption, two-factor authentication, and enterprise-grade security controls. This is the same infrastructure used by millions of businesses worldwide.
UK GDPR Compliance
The Indian firm viewing your QuickBooks data — which includes customer names, transaction values, and supplier details — constitutes a transfer of personal data to India for UK GDPR purposes. India does not currently hold a UK adequacy decision, so you must sign a Data Processing Agreement (DPA) with Standard Contractual Clauses before granting access. This is standard practice and a reputable Indian CA firm will have a DPA template ready.
At Sharma Jyoti and Co, we sign a UK GDPR-compliant Data Processing Agreement with every UK client as part of our onboarding. We work within QuickBooks Online and do not download or store client data outside of the software. Our access is logged in the QuickBooks Audit Log and you can revoke it at any time.

Frequently Asked Questions
Yes. QuickBooks Online allows you to invite an accountant or bookkeeper by email. The Indian CA firm receives an invitation, creates a free QuickBooks Accountant account, and gains access to your books without needing your login credentials. You can set their permission level and revoke access at any time from your Manage Users settings.
An Indian CA firm working in QuickBooks Online can handle: bank reconciliation, categorising income and expenses, raising and matching sales invoices, processing purchase invoices, preparing VAT return figures, producing monthly management reports (P&L, balance sheet), and preparing a year-end trial balance. They cannot submit your VAT return via MTD without being authorised as your agent in HMRC Online Services.
Yes. QuickBooks Online is HMRC-recognised MTD-compatible software for VAT. Your Indian CA firm prepares VAT figures inside QuickBooks. The MTD submission is then made directly from QuickBooks by you (the business owner) or by an accountant who has been authorised as your agent in HMRC Online Services. The Indian firm can be set up as your agent if you want them to handle submissions.
QuickBooks Online stores data on Intuit's cloud servers, not locally on the Indian firm's computers. Granting accountant access does not transfer your data — it gives the Indian firm a view into and editing rights within your existing QuickBooks file. For UK GDPR compliance, sign a Data Processing Agreement with the Indian firm before granting access, as they will be viewing personal data (customer names, transaction amounts).
Any paid QuickBooks Online plan (Simple Start, Essentials, Plus, or Advanced) supports accountant access. The accountant invitation is free — it does not use one of your paid user seats. QuickBooks Self-Employed does not support accountant access in the same way and is not recommended if you want to outsource bookkeeping to an external firm.
