Firm vs Freelancer — Why It Matters for Australian Clients
The first decision is whether to hire an individual bookkeeper from a freelance platform or engage an Indian CA firm. For Australian businesses, a firm is almost always the right choice — here is why:
| Indian CA Firm | Freelancer (Upwork etc.) | |
|---|---|---|
| Qualified oversight | ✅ CA-supervised work | ❌ Self-reported only |
| Continuity | ✅ Coverage if staff change | ❌ Single point of failure |
| NDA / legal protection | ✅ Firm engagement letter | ⚠️ Platform terms only |
| Australian GST knowledge | ✅ Firm specialises in it | ⚠️ Varies widely |
| Xero / MYOB experience | ✅ Standard for AU-focused firms | ⚠️ Must verify individually |
| Cost | A$12–A$22/hr | A$8–A$20/hr |
The small cost difference in favour of freelancers is not worth the risk for your financial records. A firm has institutional accountability — a freelancer does not.
Qualifications to Look For
Not every Indian accountant is qualified to handle Australian books. Here is what actually matters for your accounts:
Non-negotiable
- ICAI registration (Institute of Chartered Accountants of India) — the gold standard. Verifiable on the ICAI public register at icai.org. A CA (ICAI) is the Indian equivalent of an Australian CPA.
- Xero or MYOB experience — not just Tally. Tally is India-specific software. If they have only worked in Tally, they will need significant onboarding time to handle Australian accounts.
- Australian GST and BAS familiarity — they should know what a BAS is, understand Australian tax codes (GST, GST-free, BAS excluded, input taxed), and be familiar with the ATO lodgement calendar.
- Australian financial year — 1 July to 30 June, not the Indian financial year (1 April to 31 March). This affects how books are structured and reported.
Strongly preferred
- Existing Australian clients — ask for references or case studies
- B.Com or M.Com degree in addition to CA qualification
- Experience with payroll under Australian PAYG rules
- Knowledge of Single Touch Payroll (STP) reporting
Red Flags to Avoid
- No verifiable ICAI or accounting qualification — only self-described "10 years experience"
- Refuses to sign an NDA before starting — a professional firm will always sign one
- Asks for your Xero or MYOB login password directly — proper access is via user invitation, not password sharing
- No physical office address — "virtual only" firms have no accountability if something goes wrong
- Cannot provide an Australian client reference — if they have no Australian experience, they will learn on your time and money
- Quotes an unusually low price (under A$8/hr) — likely a fresher with no real Australian experience
- Uses only Tally and has not worked in Xero or MYOB
What to Confirm Before Signing Any Agreement
- ☑ ICAI registration number confirmed and verified on icai.org
- ☑ Xero or MYOB proficiency confirmed — ask for a screenshot of their certification
- ☑ NDA / confidentiality agreement signed before any data is shared
- ☑ Engagement letter with scope, deliverables, turnaround times, and pricing signed
- ☑ Secure file transfer method agreed — Xero user invite, secure portal, or encrypted transfer
- ☑ Clear escalation path — who do you contact if work quality is not right?
- ☑ At least one reference from an existing Australian client provided
How to Manage the Relationship Across Time Zones
India Standard Time (IST) is 4.5 hours behind AEST (Australian Eastern Standard Time) and 5.5 hours behind AEDT (daylight saving). In practice this means:
- Morning emails from India arrive before you start your day in Australia
- Questions sent by you at 5 PM AEST typically get answered by the next morning
- Same-day turnaround is possible on straightforward tasks if communication is early
- Urgent requests (under 4 hours) are harder — plan for a next-business-day standard
At Sharma Jyoti and Co we have Australian clients across all time zones. Our standard response time for queries is within 4 business hours during our working day, and all ongoing clients have a dedicated WhatsApp contact for urgent issues.
