How Indian Bookkeepers Access QuickBooks Online Australia

QuickBooks Online is entirely cloud-based, which makes remote access straightforward. Your Indian bookkeeper accesses your file through a formal accountant invitation — they never need your password and you can revoke access instantly.

How to invite your Indian bookkeeper to QBO:
  1. Log in to your QBO Australia account
  2. Click the Settings icon (gear) in the top right → Manage Users
  3. Select the Accounting Firms tab
  4. Click Invite Accountant and enter your bookkeeper's email address
  5. They receive an email invitation and accept using their own QBO login
  6. They now appear in your user list — you can adjust permissions or remove them at any time

The accountant access level gives your Indian bookkeeper full access to reconcile transactions, code expenses, run reports, prepare BAS, and process payroll — everything they need to do the work. They cannot change your subscription, billing, or invite other users without your permission.

QBO Australia GST Features — What Your Bookkeeper Works With

QuickBooks Online Australia has Australian-specific GST and BAS features built in:

  • GST coding on every transaction — each line item is coded with the correct GST rate (10%, GST-free, input taxed, or out of scope). Your bookkeeper applies the correct code to every transaction they process
  • GST Centre — a dedicated dashboard showing GST collected and credits for the current BAS period. Your bookkeeper prepares the BAS from here
  • BAS preparation — QBO generates a draft BAS based on the transactions coded in the GST Centre. Your bookkeeper reviews it, you approve, then lodge via ATO Business Portal or through your tax agent
  • Bank feeds — QBO connects directly to most Australian banks (ANZ, CBA, Westpac, NAB, Bendigo, and others). Transactions feed in daily and your bookkeeper reconciles them in QBO
  • Payroll (QBO Payroll) — QBO Australia has a payroll module with STP Phase 2 support. Your bookkeeper processes pay runs, submits STP, and manages leave balances in QBO. Note: QBO Payroll is included in the Plus and Advanced plans — check your subscription

If you are already on QBO and it is working for your business, there is no compelling reason to switch. All three platforms are fully supported by Indian bookkeeping firms that serve Australian clients. The productivity difference between platforms is minimal once a bookkeeper knows the software.

When Switching from QBO to Xero Makes Sense

There are specific scenarios where switching is worth the disruption:

  • Your industry uses Xero-native integrations that have no QBO equivalent (e.g. specific trade/construction project management tools)
  • Your Australian accountant specifically recommends Xero for their workflow — some accountants review files more efficiently in Xero and may charge more for QBO clients
  • You are growing and need more advanced Xero features (multi-currency, more detailed project tracking, better inventory)
  • The vast majority of your Indian bookkeeper's other Australian clients are on Xero — meaning their QBO knowledge may be shallower

Switching mid-year creates reconciliation complexity and a migration cost (typically A$500–A$2,000 depending on history). If you are going to switch, do it at 1 July (start of Australian financial year) for a clean break.

What a QBO Australia Outsourcing Engagement Looks Like in Practice

  • Weekly: Bank reconciliation — your bookkeeper matches all transactions in the QBO bank feed to the correct accounts. You receive a summary if there are any unmatched items needing your input
  • Monthly: P&L and balance sheet sent within 5 days of month end. Any unusual transactions flagged for your review
  • BAS periods (monthly or quarterly): BAS draft prepared in QBO GST Centre, sent to you for approval, then lodged by you or your tax agent
  • Each pay run: Payroll processed in QBO Payroll, STP submitted, super scheduled and paid within 7 business days (Payday Super compliance)
  • Year end: File cleaned up and handed to your Australian accountant for income tax return preparation

Yes. QBO Australia has a GST Centre and BAS preparation tool. Your bookkeeper prepares the BAS from the GST Centre data and sends it to you for approval. You lodge via the ATO Business Portal or through your tax agent. QBO also supports STP Phase 2 payroll for super and PAYG reporting.
Not unless there is a specific reason — your accountant recommends Xero, you need Xero-native integrations, or the Indian firm you are engaging has very limited QBO experience. Migration mid-year creates reconciliation complexity. If you switch, do it at 1 July for a clean break.
A$300–A$800/month for most Australian SMEs — bank reconciliation, GST, BAS, payroll, and monthly reports. A local QBO bookkeeper charges A$1,200–A$2,800/month for the same scope. Annual saving: A$10,800–A$24,000.
Not significantly. Indian firms that serve Australian clients are typically proficient in all three major platforms. Pricing is based on transaction volume, complexity, and services required — not on which cloud software you use. Confirm your prospective firm has experience with your specific software before engaging.
