What SMSF Administration Actually Involves
Running an SMSF requires both ongoing administrative work throughout the year and a formal annual compliance cycle. Understanding which is which is the key to knowing what can be outsourced:
- Ongoing administration — recording contributions, pension payments, and investment transactions; reconciling bank and investment accounts; updating member balances; tracking asset valuations
- Annual compliance — preparing financial statements (income statement, balance sheet, member statements); preparing the SMSF annual return workpapers; appointing and working with the SMSF auditor; lodging the SMSF annual return with the ATO
- Trustee obligations — investment strategy review, contribution cap monitoring, pension minimum drawdown calculations, related party transaction compliance
The first category is bookkeeping and administration — fully outsourceable to India. Parts of the second category are preparatory (also outsourceable), and the lodgement itself requires an Australian-registered tax agent. The third category requires trustee decisions — these are your obligations as trustee and cannot be delegated.

- The SMSF annual return lodgement — must be lodged by a Tax Practitioners Board registered tax agent
- The annual audit — must be conducted by an independent registered SMSF auditor with an ASIC auditor number. The auditor cannot be associated with the firm that prepares the financial statements
SIS Act Compliance — What Your Indian Bookkeeper Must Understand
The Superannuation Industry (Supervision) Act 1993 (SIS Act) governs SMSF compliance. An Indian CA firm handling SMSF administration must understand:
- Contribution caps — concessional cap A$30,000/year (2025–26), non-concessional cap A$120,000/year. Excess contributions trigger significant tax penalties. Your bookkeeper tracks year-to-date contributions per member and flags when limits are approaching
- Pension phase requirements — members in pension phase must draw the minimum pension percentage annually. Your bookkeeper calculates the minimum based on account balance and member age, and tracks actual drawdowns against it
- Sole purpose test — the SMSF must be maintained solely for the purpose of providing retirement benefits. Your bookkeeper flags any transactions that could breach this (e.g. personal use of SMSF assets)
- In-house asset rule — no more than 5% of fund assets in in-house assets. Your bookkeeper monitors this ratio quarterly
- Related party transactions — must be at arm's length market value. Your bookkeeper flags related-party transactions for trustee review
Data Security for SMSF Outsourcing
SMSF data is particularly sensitive — member TFNs, bank account details, investment portfolios, pension amounts, and estate planning structures are all involved. Before any data is shared with an Indian firm:
- A signed NDA and data processing agreement specifying that SMSF member data is never stored on local devices or shared with any third party
- Access via Class Super, BGL Simple Fund 360, or Xero user invitation — not raw file exports or email attachments containing TFNs
- Confirmation that the Indian firm deletes all client data on engagement termination
- No sharing of physical documents — all source documents (investment statements, bank statements) should be uploaded to the SMSF administration software, not emailed as attachments
Cost Comparison — SMSF Administration India vs Australia
| Component | Indian CA Firm | Australian SMSF Administrator |
|---|---|---|
| Ongoing admin + financial statements (prep) | A$400–A$900/yr per SMSF | A$1,500–A$3,500/yr per SMSF |
| SMSF tax return lodgement | N/A (Australian agent required) | Often included in package |
| Annual audit fee | N/A (separate registered auditor) | A$400–A$700 (separate or included) |
| Total per SMSF | ~A$1,100–A$1,800/yr all-in | A$2,500–A$5,000/yr all-in |
The Indian cost assumes you have an Australian-registered tax agent lodging the return (A$300–A$600) and a registered auditor (A$400–A$700) — both engaged separately. The total all-in cost is still typically 30–50% less than a full-service Australian SMSF administrator.
