Why Software Choice Matters for Offshore Bookkeeping
When you outsource bookkeeping to an Indian CA firm, your accounting software becomes the primary collaboration workspace. The easier it is for your Indian bookkeeper to access the file, enter transactions, run reports, and communicate with you about queries — the smoother the engagement runs. Choosing the wrong platform, or having a version of the platform that requires extra steps for remote access, adds friction from day one.
The three things that matter most when choosing software for offshore bookkeeping:
- Remote access — can your Indian bookkeeper log in from India without installing anything or needing remote desktop software?
- User permissions — can you give your bookkeeper exactly the access they need (enter transactions, reconcile, run reports) without giving them admin rights over your subscription or bank accounts?
- Integration — does the platform connect with receipt capture tools (Hubdoc, Dext), payroll software, and POS systems so data flows in automatically rather than requiring manual uploads?
Both Xero and MYOB are capable platforms. The question is which requires less setup friction for an offshore arrangement specifically.
Remote Access — Xero Wins Clearly
Xero is a 100% browser-based platform. There is nothing to install. Your Indian bookkeeper logs in at login.xero.com from any browser, anywhere in the world, and has full access to your file. No VPN, no remote desktop, no file hosting — just a browser and an internet connection.
MYOB is more complicated, depending on which version you use:
| MYOB Version | Remote Access Method | Friction for Indian Bookkeeper |
|---|---|---|
| MYOB AccountRight (desktop) | Company file must be hosted on MYOB's cloud or a third-party server; bookkeeper uses MYOB desktop app or browser via hosted environment | High — requires file hosting setup; desktop app installation or remote desktop session |
| MYOB AccountRight (cloud-enabled) | Company file stored on MYOB cloud; browser access via my.myob.com | Medium — browser-based but slower than Xero; some features only available in desktop mode |
| MYOB Business (formerly Essentials) | Fully browser-based at business.myob.com | Low — similar to Xero; works smoothly for remote access |
If you use MYOB AccountRight desktop and have not yet migrated to cloud hosting, you will need to move the company file to MYOB's cloud before an Indian bookkeeper can access it efficiently. This is a one-time migration that takes 1–2 days, but it is an extra step Xero users do not face.
User Permissions — Xero Is Cleaner
Giving an external bookkeeper the right level of access — enough to do their job, not enough to cause problems — is a core security consideration for any outsourcing arrangement. Both Xero and MYOB have user role systems, but they work differently.
In Xero, the Standard user role is designed exactly for this use case. A Standard user can:
- Create and approve invoices, bills, and credit notes
- Reconcile bank accounts against the bank feed
- Enter and approve expense claims
- Run and export all reports
- Access bank feeds (view transactions — they cannot initiate payments)
- Manage contacts (suppliers, customers)
A Standard user in Xero cannot: add or remove other users, change subscription or billing details, access Xero's payment services to make bank transfers, or change organisation settings. This is the correct access level for a bookkeeper — give them Standard, never Admin.
In MYOB AccountRight, user roles are set at a more granular level — you can control access to individual modules (sales, purchases, payroll, banking). This offers more control but requires more configuration. MYOB Business has a simpler role system closer to Xero's approach. Either way, the principle is the same: give your Indian bookkeeper access to bookkeeping functions only, not to subscription management or payment initiation.
Integration Ecosystem — Xero Has More Options
The value of your accounting software multiplies when it connects cleanly to the other tools your business uses. For outsourcing purposes, the most important integrations are receipt capture, payroll, POS, and e-commerce platforms — because these reduce the amount of manual data entry your Indian bookkeeper needs to do.
| Integration Category | Xero | MYOB |
|---|---|---|
| Receipt capture | Hubdoc (owned by Xero), Dext, AutoEntry — native integration | Dext, AutoEntry — integration available; Hubdoc does not integrate natively with MYOB |
| Payroll | Xero Payroll (built in), Employment Hero, KeyPay — all integrate natively | MYOB Payroll (built in for AccountRight), KeyPay — available |
| POS systems | Square, Shopify, Lightspeed, Vend — all have native Xero integrations | Fewer native POS integrations; some require third-party connectors |
| E-commerce | Shopify, WooCommerce, Amazon via A2X — strong ecosystem | Shopify integration available; narrower ecosystem overall |
| Inventory management | DEAR, Cin7, Unleashed — all integrate with Xero | DEAR and Cin7 both integrate with MYOB; slightly narrower options |
| Practice management (CPA) | Karbon, Xero Practice Manager, Ignition | MYOB Practice works best in MYOB ecosystem |
Xero's larger integration marketplace — over 1,000 third-party apps — means that for most Australian SMEs, the tools they already use have a Xero integration available. This matters for outsourcing because it reduces the manual data sharing between your business and your Indian bookkeeper. For our full bookkeeping service, we work in both Xero and MYOB — but we find Xero-based engagements run with less setup friction.
Reporting and Oversight
One concern many Australian business owners have when outsourcing bookkeeping is oversight — how do you know what your Indian bookkeeper has done, and whether they have done it correctly? Both platforms provide tools for this, but Xero's activity log is particularly useful.
In Xero, the History and Notes feature on every transaction records who created or modified it and when. The organisation's audit trail (under Settings) shows a complete log of all user activity. This means you can see at any time exactly which transactions your Indian bookkeeper created, approved, or modified — providing a clear record for your own review and for your Australian accountant's annual review.
MYOB AccountRight similarly maintains a transaction audit log and tracks which user created each entry. Both platforms allow your Australian accountant to be invited as an advisor user for annual review purposes, separate from the day-to-day bookkeeper access.
For the monthly review workflow — where your Indian bookkeeper prepares the accounts and you or your Australian accountant reviews them — both platforms work equally well. A monthly video call reviewing the Xero or MYOB P&L and balance sheet is standard practice for well-run offshore engagements. See our article on how to audit your Indian bookkeeper for a full review checklist.
Cost Comparison
| Platform | Entry Plan (AUD/month) | Standard Plan | Premium/Advanced | Additional Users |
|---|---|---|---|---|
| Xero Starter | ~A$32 | ~A$65 (Standard) | ~A$85 (Premium) | Unlimited users included |
| MYOB Business Lite | ~A$27 | ~A$54 (Pro) | ~A$79 (AccountRight) | Unlimited users included |
| MYOB AccountRight Plus | ~A$79 | ~A$109 (Premier) | Enterprise pricing | Unlimited users included |
Both platforms include unlimited users in their subscription pricing — neither charges per user for the bookkeeper access. Software cost is not a differentiating factor; both are in a similar price range for comparable feature sets. The decision should be based on which platform better suits your business workflows, your existing integrations, and your Australian accountant's preference.
The Verdict — Which to Choose
- You are setting up a new business or switching platforms
- You use Hubdoc, Shopify, Square, or any of Xero's 1,000+ native integrations
- You want the simplest possible remote access for your Indian bookkeeper — no hosting setup required
- Your Australian accountant or CPA practice uses Xero Practice Manager
- You are in professional services, e-commerce, trades, or a startup
- You already use MYOB AccountRight Business (cloud) or MYOB Business and your workflow is established
- You have complex inventory requirements where MYOB AccountRight's inventory module better suits your needs
- Your Australian accountant strongly prefers MYOB and does your annual tax review in that platform
- You are in manufacturing or construction with MYOB-specific workflows already embedded
If you are currently on MYOB AccountRight desktop and considering outsourcing to India, migrating to MYOB's cloud hosting or switching to Xero before starting the engagement will make the first month significantly smoother.
