How the Process Works — Step by Step
Outsourcing VAT returns to India is simpler than most UK business owners expect. The process has a clear split between what the Indian team does and what you (or your UK accountant) must do.
| Step | Who Does It | Typical Timeframe |
|---|---|---|
| 1. Bookkeeping throughout the quarter | Indian CA team | Ongoing — monthly or weekly |
| 2. Bank reconciliation at quarter end | Indian CA team | Within 3 working days of period close |
| 3. VAT return preparation (VAT100) | Indian CA team | 1–2 working days after reconciliation |
| 4. Review and approval | You (UK business owner) | Same day or next day |
| 5. MTD submission to HMRC | You or UK accountant via Xero/Sage | Before HMRC deadline (1 month + 7 days after period end) |
The entire cycle runs on a quarterly basis for most businesses, though businesses on the annual accounting scheme submit once per year and those on monthly returns follow the same process each month.
Setting Up Software Access for Your Indian Bookkeeper
The Indian CA team works inside your existing bookkeeping software — they do not use separate systems or ask you to export data. Here is how to grant access in the three most common UK platforms:
Xero
- Go to Settings → Users → Invite a User
- Select "Adviser" role — full bookkeeping access, no payment processing
- Enter the Indian bookkeeper's email address and send
- They accept and are live within minutes
- For Xero MTD VAT: the Xero account remains linked to your HMRC credentials — the Indian team prepares the return inside Xero, you approve and click Submit
Sage 50 / Sage Business Cloud
- Sage Business Cloud: Settings → Users → Invite — create a named user with bookkeeper access level
- Sage 50: Create a new user login with appropriate access rights (exclude payroll and banking if preferred)
- The Indian team logs in with their own credentials — no shared passwords
QuickBooks Online
- Settings → Manage Users → Invite Accountant
- Enter email — they get accountant-level access with their own QBO credentials
- MTD VAT submission in QBO: filed by the account holder, not the accountant user
Which VAT Schemes Can Be Handled Remotely
A UK-experienced Indian CA firm handles all standard UK VAT schemes. The key is to confirm your scheme when you start the engagement so transactions are coded correctly from the first month.
| VAT Scheme | What the Indian Team Handles | Notes |
|---|---|---|
| Standard Rate (Quarterly) | Full reconciliation, output/input tax, EC/import adjustments | Most common — fully supported |
| Flat Rate Scheme | Calculates FRS percentage on gross turnover, monitors threshold | Alert firm if turnover nears £230,000 (must exit FRS) |
| Cash Accounting | Reconciles VAT on receipts and payments rather than invoices | Bank feed quality is critical |
| Annual Accounting | Manages interim payments, prepares final return | Interim payment schedule set at start of year |
| Margin Scheme | Calculates margin on eligible goods (second-hand, art, antiques) | Must track cost and selling price per item |
| Partial Exemption | Apportions input tax between taxable and exempt supplies | Annual adjustment calculation also included |
Making Tax Digital — What the Indian Team Does and Does Not Do
Making Tax Digital for VAT requires digital record-keeping and direct digital submission to HMRC. Here is exactly where the Indian team fits into the MTD framework:
- Digital records: The Indian team maintains your records in Xero or Sage — both are HMRC-recognised MTD-compatible platforms. This satisfies the digital record-keeping requirement fully.
- VAT return preparation: Prepared inside the MTD-compatible software, so the figures are already in the correct format for submission.
- MTD submission: Must be submitted through software linked to your HMRC online account. The Indian team cannot access your HMRC Government Gateway account. You click Submit in Xero or Sage — it takes under 2 minutes.
What Makes VAT Preparation Faster — Document Management
The biggest variable in turnaround time is how documents reach the Indian team. The two best approaches:
- Dext (formerly Receipt Bank): You photograph receipts with the Dext app; they are automatically extracted and pushed to Xero or Sage. The Indian team sees clean, coded transactions without chasing paper. Most businesses using Dext reduce bookkeeping time by 40–60%.
- Shared folder (Google Drive or OneDrive): Upload purchase invoices, bank statements, and supplier statements to a shared folder at month end. The Indian team processes from the folder. Slower than Dext but zero additional software cost.
Disorganised document supply is the single biggest cause of missed VAT deadlines when using an offshore team. Set up one of these two systems before the first quarter.
Cost Comparison — Indian CA vs UK Accountant for VAT Returns
| Service Model | Typical Cost | Includes Bookkeeping? |
|---|---|---|
| UK accountant — VAT return only | £150–£400 per return | No — extra charge |
| UK bookkeeper + VAT return | £600–£1,500/month | Yes |
| Indian CA — part-time dedicated (bookkeeping + VAT) | £300–£800/month | Yes — included |
| Indian CA — full-time dedicated (bookkeeping + VAT + payroll) | £800–£1,500/month | Yes — included |
For most UK small businesses, the cost saving compared to a UK bookkeeper is 50–65% when comparing like-for-like scope. VAT return preparation is included in the monthly fee — it is not a separate charge.
